Take Bookings and Payments From Your Website
A public, embeddable booking form your passengers can use to request a trip, get an instant fare quote, and pay online. Every booking lands in Waybill as a job — ready to dispatch, track, and invoice.
Your Customers Already Want to Book Online
Self-service booking isn't a nice-to-have anymore — it's what people expect from every service they use.
Demand is booming
Passengers book flights, meals, and appointments on their phone. They expect the same from transport. Operators who offer online booking capture work the ones who don't simply miss.
Bookings around the clock
Your website takes bookings at 11 PM on a Sunday. Demand doesn't wait for office hours — and now neither does your booking desk.
Keep the customer (and the fee)
Direct bookings on your own site sidestep third-party platforms and their commissions. The fare — and the customer relationship — stay yours.
Free up your office
Routine bookings self-serve, so your team spends its time dispatching and looking after customers instead of transcribing addresses over the phone.
An Embeddable Booking Form
Turn on public booking in Settings and Waybill gives you a hosted booking page plus an embed snippet you can drop straight into your own website. Your passengers never need a login or an app.
- Link or embed — share the hosted booking link or paste the
<iframe>snippet into your site. It's cleared to run framed on your own domain. - Address autocomplete — pickup and drop-off search with map-backed address lookup for accurate locations.
- Multi-passenger & return journeys — bookers can add extra passengers and a return leg (driver waits, or comes back later) — full parity with the in-app job form.
- Branded confirmation — bookers get a confirmation email (and SMS where enabled) carrying your logo and business name, with the booking reference.
- Opt-in and rate-limited — the form is off until you enable it, keyed to your organisation, and throttled to keep out abuse.
Live Fare Quotes From Your Rate Cards
Before a passenger confirms, Waybill prices the trip using the very same rate-card engine that powers your in-app jobs — distance, time, fixed fees, and surcharges all included. No separate pricing to maintain.
- The quote reflects the actual route between pickup and drop-off.
- Return journeys are priced across both legs.
- What the passenger sees is what flows through to the job and the invoice.
Online Payment — Straight to Your Account
Connect your own Stripe account and passengers can pay their fare online at the point of booking. The money goes directly to you — Waybill never sits in the middle of your fares. You keep the merchant relationship.
- Your Stripe, your money — built on Stripe Connect. Onboard once from the Billing page and you're ready to accept fares.
- Pay now or pay later — passengers can pay on booking, or the pending job still stands if they choose to settle later.
- Automatic reconciliation — a successful payment marks the job as paid in Waybill, so your records stay in sync.
- Clear onboarding status — the Billing page shows exactly what Stripe still needs before charges are enabled, so there are no surprises.
From Booking to Dispatch to Invoice
Online bookings aren't a silo — they flow through your normal Waybill operation.
Lands as a job
Each booking creates a pending job with the pickup, drop-off, time, passengers, and fare already set — flagged as "Booked online" so your team knows where it came from.
Dispatch as normal
Assign it with Smart Dispatch or Fleet Optimise, message the driver, and share a live tracking link — exactly like any other job.
Link the account
A dispatcher assigns the customer account to the booked job, so it feeds straight into customer invoicing and your accounting sync.
