Proof of Delivery Your Drivers Capture on Their Phone
Signatures at each stop, photos of damage, faults and dockets, and odometer readings at the start and end of every job. All of it is saved against the job, so when a customer disputes a delivery you have the evidence straight away.
Signatures at Every Stop
When a driver confirms a stop, the driver portal asks for an on-screen signature. The recipient signs with a finger on the driver's phone, and the driver records who signed.
- Signed and named — Each signature carries a "received by" name and the time it was captured, so you know who took the goods, not just that someone did.
- Saved against the stop — On a multi-stop run, each drop point keeps its own signature. Dispatchers see it on the job in the dashboard as soon as the stop is confirmed.
- Never strands a driver — If nobody is there to sign, the driver confirms the stop without a signature and carries on with the run.
- Re-confirm replaces — If a stop is confirmed again, the new signature replaces the old one, so there is only ever one signature per stop.
Photos of Damage, Faults and Dockets
Drivers take photos from their phone at any point in a job. They might photograph goods that arrived damaged, a fault with the load, a weighbridge docket, or where a parcel was left.
- Tagged and captioned — Each photo is marked as damage, weighbridge docket, or other, with an optional note from the driver explaining what it shows.
- Any time during the job — Damage turns up whenever it turns up, so photos attach to the job rather than a single stop.
- After the last drop too — A weighbridge docket often only exists once the run is over, so drivers can still add photos to a completed job.
- Viewable and downloadable — Your team sees every photo on the job in the dashboard and can download them for a customer, an insurer or your own records.
Odometer Readings at Start and Finish
Require drivers to enter the odometer at the first and last stop of every job. It gives you a record of the distance each job actually covered, entered by the driver at the time.
- First and last stop only — Drivers aren't asked at the stops in between.
- Checked on entry — A closing reading lower than the opening one is rejected, so typos don't go into the record.
- Feeds maintenance — The closing reading updates the vehicle's odometer, so distance-based service schedules stay current without anyone entering the figure twice.
- Shown on the job — Both readings and the distance between them appear on the job in the dashboard.
Switch On What Your Operation Needs
Proof of delivery lives in one place in Settings. Each part has its own switch, and all three start off, so you turn on only what your drivers and customers need.
- Capture a signature on stop confirmation — Drivers are asked for a signature when they confirm a stop, but they can always skip it.
- Let drivers add photos to jobs — Drivers get a photo button on each job. Taking a photo is always up to the driver.
- Require odometer readings — The one compulsory option, because the odometer is always in front of the driver.
- Nothing lost if you switch off — Turning photos off stops new uploads, but photos already on your jobs stay visible.
Built for Delivery Disputes
One Record Per Job
Signatures, photos, odometer readings and the timestamped status history all sit on the same job, so there's only one place to look when a question comes in.
Driver Identity
Every stop confirmation and every photo records which driver captured it, so you know who was on the ground.
Office Keeps the Record
Drivers can remove their own photos while a job is under way. Once it's completed, only your office team can remove them.
No Separate App
It's all in the Waybill driver portal your drivers already use for their runsheet, stop confirmations and messages.
Any Job Type
Courier drops, freight deliveries, equipment runs, document collections — any job with a stop can carry a signature and photos.
Included in Every Plan
Proof of delivery is part of Waybill, not an add-on. Turn it on in Settings and it's available to every driver.
