Fleet Maintenance That Knows How Far Each Vehicle Has Driven
Set service schedules by kilometres, by months, or both. Waybill keeps each vehicle's odometer current from the readings your drivers already enter, and emails your team before a service falls due.
Service Schedules by Kilometres or Months
Add a schedule to any vehicle for the work it needs. A schedule can run on distance, on time, or on both, and whichever comes first makes it due.
- 13 service types — Oil change, tyre rotation, brakes, general service, engine, transmission, wheel alignment, battery, air conditioning, windscreen, registration and insurance renewal, or your own.
- Sensible defaults — Each type starts with a typical interval, such as an oil change every 10,000 km or 6 months. Change it to suit the vehicle.
- Your warning window — Choose how early a service counts as upcoming, in kilometres and in days, for each schedule.
- Next due worked out — Enter when a vehicle was last serviced and Waybill works out the next due date and odometer reading.
An Odometer Nobody Has to Update
Distance-based schedules are only as good as the odometer reading behind them. Waybill takes it from records your team already creates.
- Pre-trip inspections — The reading a driver enters on their daily inspection updates the vehicle.
- Job readings — With odometer readings switched on in proof of delivery, the closing reading on a job updates the vehicle too.
- Service records — The reading on a logged service counts as well.
- Only moves forward — A lower reading entered late or by mistake is ignored, so it can't wind a vehicle back and hide a service that's due.
Reminders Before It's Too Late
When a service becomes upcoming or overdue, Waybill emails the people in your organisation who look after vehicles.
- Checked as readings arrive — A new odometer reading is checked against that vehicle's schedules straight away. Date-based schedules are checked every day.
- One email per change — You're told when a service becomes upcoming and again if it goes overdue, not every hour until it's done.
- Each person chooses — Anyone can switch maintenance reminders off in their own notification settings.
- Fleet at a glance — The Maintenance view on the vehicles page counts overdue, upcoming and OK services across the fleet, with a status chip on each vehicle.
A Service History With Costs
Log each service against the vehicle, and the schedule moves on to its next due date and reading on its own.
- Full record — Service date, odometer, cost, who did the work, their invoice reference and notes.
- Unscheduled work too — Log a repair that wasn't on a schedule, so the history and costs are complete.
- Maintenance Cost report — See spend per vehicle and per service over any period, and cost per kilometre against the distance driven. See all reports.
