Getting Started

Click "Start Your Trial" from any page. Enter your name, email, and organisation name. No credit card required. You'll get immediate access to all features with your first 50 jobs included.

You can start dispatching within minutes of signing up. Add your drivers and vehicles manually or import them from CSV/Excel. Most operators are fully operational within a day.

Yes. Waybill supports CSV and Excel import for drivers, vehicles, and passengers. Upload your file, map columns to Waybill fields (many are auto-detected), and import. Up to 500 records per import.

Sign up with no credit card. You get 14 days of full access and 50 jobs at no charge. All features are available — nothing is locked. At the end of the trial, add a payment method to continue.

Pricing & Billing

Waybill uses usage-based pricing. You pay per completed job with graduated tiers: $0.45 for jobs 1–200, $0.40 for jobs 201–1,000, and $0.37 for jobs beyond 1,000. No flat fees. All features are included — no tiered plans or feature gates.

A completed job is one marked as "Completed" in the system — pickup and dropoff both confirmed. Pending, in-progress, cancelled, and archived jobs are never billed.

No. Every account gets unlimited drivers, vehicles, team members, workflows, and full access to every feature. The only variable is the number of completed jobs per month.

Your bill tracks your work. In a quiet month — off-season, a shutdown period, a gap between contracts — you're only charged for the jobs you actually completed, and your account and all your data stay fully active. That's the advantage of usage-based pricing over per-vehicle plans, which charge you the same whether your fleet moves or not.

Yes. No contracts or lock-in periods. Cancel anytime from your billing settings. You retain access until the end of the current billing period.

Features

Smart dispatch evaluates all available driver-vehicle combinations for a job and ranks them by suitability — considering proximity, time windows, vehicle capacity, driver hours, and passenger requirements. You can review the ranked options or auto-assign the best match in one click.

Fleet optimisation takes all pending unassigned jobs and all available drivers, then uses route optimisation algorithms to find the best overall assignment. You preview the results — including any jobs that couldn't be assigned and why — before applying.

Yes. Create recurring job templates with daily, weekly, specific days, biweekly, or monthly patterns. Jobs are automatically generated (expanded) up to 14 days ahead. You can cancel individual occurrences without affecting the rest of the schedule.

Yes. Waybill includes detailed passenger profiles with disability information, mobility aid tracking, vulnerability flags, and vehicle accessibility matching. Rate cards can be configured to match NDIS pricing structures, and every job has a complete audit trail. Learn more about NDIS transport.

Waybill supports 12 transport job types: passenger transport, freight, delivery, charter, patient transport, prisoner transport, school run, airport transfer, corporate, disability transport, courier, and funeral transport. Each type has specific defaults and field configurations.

Yes. Drivers have a dedicated portal where they see their assigned jobs, passenger details, pickup and dropoff locations, and any special requirements. They can update job status (picked up, delivered) directly from their portal.

Yes. Waybill includes customisable pre-trip vehicle inspection checklists with 9 categories (tyres, brakes, lights, mirrors, fluids, body, safety, interior, and accessibility). Drivers complete inspections from their portal with photo evidence for failed or flagged items. Results are automatic — all items pass means the vehicle passes; any fail means the inspection fails. Security & Data

Yes. Organisation data is fully isolated — no other account can access your information. We use soft-delete architecture so accidentally deleted records can be restored. Permanent deletion requires separate permissions. Payments are processed using PCI-DSS compliant infrastructure.

Waybill has 64 granular permissions covering every resource and action. You can create custom roles with exactly the permissions your team needs. Default roles include Owner (full access), Admin (full access), and Dispatcher (job and driver management only).

Yes. You retain ownership of all your data. You can export your data at any time. If you cancel, you have 30 days to export before data is scheduled for deletion.
