Automatic Schedule Expansion

Recurring schedules automatically expand into individual daily schedule entries up to 14 days ahead. This means:

  • Dispatchers can see upcoming schedules on the calendar immediately
  • Drivers know their shifts well in advance
  • Conflicts are detected before they happen, not on the day
  • If you change the template, future schedules regenerate automatically
Example: You create a recurring schedule for "James Wilson — Mon/Wed/Fri, 6:00-14:00, Toyota HiAce". Waybill instantly creates individual schedule entries for the next 14 days. When day 15 approaches, new entries are generated automatically.

Conflict Detection

Waybill prevents double-booking automatically. If a driver already has a schedule for a particular date and time, you'll be warned before creating a conflicting entry.

Conflicts are checked across all schedule types — recurring templates, one-off schedules, and even jobs that have already been assigned to that driver.

Vehicle Assignment

Each schedule entry can specify a vehicle, or the driver's default vehicle is used. The dispatch system respects these vehicle assignments when making job assignments:

  • Schedule has a vehicle? That vehicle is used for jobs on that day.
  • No schedule vehicle? The driver's default vehicle is used.
  • No default? The driver is excluded from vehicle-dependent assignments.

Each schedule entry progresses through a clear lifecycle, giving dispatchers visibility into who's working and when.
