Customisable Checklists
Every organisation gets a fully customisable inspection template. Items are grouped into 9 categories covering the full range of vehicle safety checks:
- Tyres — Tread depth, inflation pressure, sidewall condition, wheel nuts.
- Brakes — Pedal feel, handbrake operation, brake fluid level.
- Lights — Headlights, indicators, tail lights, hazard lights, interior lights.
- Mirrors — Side mirrors, rear-view mirror, condition and adjustment.
- Fluids — Engine oil, coolant, washer fluid, transmission fluid.
- Body — Panel damage, windscreen cracks, wipers, doors and latches.
- Safety — Seatbelts, fire extinguisher, first aid kit, warning triangle.
- Interior — Dashboard warnings, horn, air conditioning, seats.
- Accessibility — Wheelchair ramp, tie-down straps, handrails, step condition.
Photo Evidence
When an item fails or requires documentation, drivers can attach photos directly from their device. Photos are stored against the inspection record for a complete audit trail.
- Required photos — Certain items can be configured to require photo evidence regardless of pass/fail status.
- Failed item photos — When a driver marks an item as failed, they can attach a photo showing the issue.
- Timestamped records — Every photo is linked to the specific inspection item, driver, vehicle, and date.
- Compliance evidence — Photos provide evidence for HVNL compliance audits and insurance claims.
Automatic Pass/Fail
Inspection results are calculated automatically. There's no manual override or ambiguity — the rules are simple and consistent:
- All items pass — The overall inspection result is Passed. The vehicle is cleared for service.
- Any item fails — The overall inspection result is Failed. The vehicle should not be dispatched until the issue is resolved.
- Odometer tracking — Drivers record the odometer reading at the time of inspection, giving you a maintenance and mileage history.
- One per driver per day — Each driver completes one inspection per assigned vehicle per day. Duplicate inspections are prevented.
Organisation Control
Inspections are fully configurable at the organisation level. You decide what gets checked, when, and for which job types:
- Enable/disable globally — Turn vehicle inspections on or off for your entire organisation from settings.
- Customise templates — Add, remove, or reorder inspection items. Each item belongs to a category and can be marked as requiring photo evidence.
- 23 Australian defaults — New organisations are seeded with 23 inspection items aligned with Australian transport safety standards.
- Per-job-type requirements — Configure which job types require a completed inspection before dispatch.
